How to cut consult no-shows without sounding pushy
No show consults waste your provider time and your revenue. Here is how to cut them down with reminders and deposits that feel respectful, not aggressive.
A no show consult is not just an empty chair. It is provider time you scheduled, blocked off, and can never get back. Industry consult no show rates commonly sit between 20 and 30%, which means for every three or four consults you book, one of them simply does not show up.
That adds up fast. If you run a single provider practice and you book twenty consults a week, you could be losing five or six of them to no shows every single week. Over a year, that is a lot of revenue and a lot of wasted time.
The instinct is to get stricter. Send more reminders. Call to confirm. Add a stern note to your booking page. But most patients do not no show on purpose. They forget. They got busy. The consult was three weeks out and it slipped their mind. The fix is not to sound pushy. It is to make forgetting impossible.
Start with automated reminders. Send a text the day they book, another a day before, and one a few hours before. Keep them warm and short. Something like, Looking forward to your consult tomorrow at 2pm. Reply here if you need to move it. That single message cuts no shows more than any stern warning ever will.
Then add a deposit at booking. This is the single biggest lever. When a patient puts a card on file and pays a small deposit to hold their consult time, they show up. They have skin in the game. It does not need to be a lot. Even a modest deposit changes the psychology from maybe I will go to I am going.
Make it easy to reschedule, not hard. The goal is a kept appointment, not a trapped one. If a patient can move their consult with one text, they will. If they have to call during business hours and wait on hold, they will just no show instead. Easy rescheduling means more kept appointments, not fewer.
Finally, follow up after a no show with one warm message. Sorry we missed you today. Would you like to pick another time. No guilt, no pressure. Many of those patients will rebook on the spot. The ones who do not were never going to show up anyway.
